Job Responsibilities:
Define effective and efficient FM concept for office in alignment with regional / global FM strategy and oversee implementation of FM concept.
Owns and steers the planning and management of various projects at the office with a strategic overview of the deliverables and alignment with company CORE values and objectives.
Proper running and maintenance of office space, utilities and infrastructure.
Proper management of FM services to support operations.
Develop, lead and implement projects that will enhance/ improve FM services for office.
Supervise and manage FM staff/ contract staff in order to provide effective and efficient FM services. Providing hands-on training as necessary.
Professional communication and management of stakeholders relating to FM matters.
Administration and management of the leases for the various sites and offices in Singapore.
Portfolio management (Future of Work) – including but not limited to activities such as scoping and drafting of property requirements, shortlisting of property consultants, office location site visits, evaluation, local stakeholders’ engagement, advisory and main local point of liaison
Ensure proper delivery and maintenance of both Hard and Soft FM services, including but not limited to FM maintenance and repair (both preventive maintenance and corrective maintenance), Building Services (e.g. Aircon, Door Access & Security, Power & Electricity), Mail Services (Local/Overseas courier, Mailroom, Postal service), Pantry and Cleaning Services, Office Equipment & Supplies, AV equipment and Main Reception
Manage all FM contracts with overview of the effectiveness and cost efficiency. Scope includes contract summary, upload contracts into COMIT, tracking contract expiry dates and following up accordingly, scope out the contract scope of works, evaluation of tender submissions, recommendations to management to execution of contract. All with the involvement of Procurement as required.
Vendor management in consultation with Procurement and managing outsourced activities/ services, focusing on service quality, including instruction, guidance, performance control/acceptance, ordering and invoice controls, as well as contractor assessment and development.
Establishment and continuous improvement of the FM Reporting, specifically focusing on building data, costs, maintenance and repair, user satisfaction, quality and safety of the buildings as well as the quality of the services and contractors (KPI).
Implementation and adaptation of the APAC Office Workspace Framework for any office fit-out, renovation projects carried out, where applicable
Responsible for EHS & Office security
Responsible and owns the management for CapEx and OpEx cost center budgeting and management I monitoring of the relevant FM costs, cost recovery with controlling.
Requirements
Bachelor’s Degree in Building Management & Maintenance or Facility Management related disciplines
Minimum 8 years of working experience in corporate facilities.
Fire Safety, Mechanical & Electrical Engineering knowledge will be added advantage
Proven leadership, customer service, planning and execution skills
Experience working with diverse team and able to communicate with different level.
Able to manage stakeholders of landlords, government agencies, local contractors & suppliers.
