Manage all lawyers’ and employees’ records. The records are to be kept in a manner sufficient for an external audit by the Firm’s auditors as well as any statutory bodies. The records include but not limited to, personal data, employment letters or contracts, any letters relating to the Employee issued during the tenure in the firm, CVs, payroll records, statutory data, etc.
Organize, Retain, Archive files in the HR Department. Ensure files are kept properly, clearly labelled and tracked if the files are moved.
Manage all recruitment activities in the Firm, from resource planning, job descriptions, advertisement, selection, interviews, offer of employment, pre-employment checks on-boarding the new Employee.
For out-going Employees, to conduct exit interviews and provide feedback to Exco.
Involved in all aspects of remuneration and benefits activities of the Firm including Annual Salary Reviews and Bonuses (Talent Management Program), market/industry/role benchmarking, ownership of Employees Handbook, etc.
Manage eKiosk (ESS) for all types of leave (and Payslips).
Manage and Monitors Employees’ attendance.
Employee engagement, conduit between Exco/Partners and Employees.
L&D – organize and/or conduct internal and external training eg Harassment Free Workplace, Drivers’ training, etc
Manage Firms’ healthcare program and employee/life related insurances eg HealthMetrics, AIA’s GHS and GTL, GPA, etc.
Manage all activities related to Payroll including monthly salary calculations, deductions, income tax and other statutory payments, allowances, overtime calculations, no-pay-leave, etc. This will also extend to the yearly income reporting eg EA forms.
Any other duties normally expected of a Human Resource Manager.
Minimum Diploma in HRM
Degree in related field of study
Post graduate degree will be advantageous
Good spoken and written command of English and Malay
Fluency in other languages will be advantageous
Has minimum 15 years in HR practice with at least 5 years in a managerial position
Has managed a small team (between 2-4 members)
Hands on with a no-nonsense attitude, eye for detail and analytical
Work independently, pro-active and good with problem solving
Patient, good listener with a sense of humor
Experience in professional services / services related industries but not a must
Ability to multi-task with concurrent and multiple lines of reporting
